Privacy Policy

1. Who we are

SC Khata is a business ledger and accounting application operated by ScaleVerse. You can reach us at sc-khata@scaleverse.app or +92 327 6874145 (Monday to Saturday, 9:00 AM to 6:00 PM PKT).

2. Information we collect

• Account data: your name, email address, password hash and preferred language.
• Business data: business name, address, contact details, logo, tax identifiers, currency and regional settings you enter.
• Records you create: ledger entries, customers and suppliers, invoices, payments, expenses, budgets and notes.
• Attachments: receipts, screenshots, photos, voice notes and other proof files you upload.
• Team data: members you invite, their roles, permissions and branch or customer scope.
• Technical data: device and browser information, IP address, timestamps and error reports needed to keep the service running securely.

3. How we use your information

• To provide the ledger, invoicing, payment, reporting and export features you request.
• To authenticate you and keep each business account separated from every other business.
• To send transactional messages such as sign-in, password reset, invite, invoice and reminder emails.
• To detect abuse, apply rate limits and investigate errors or security incidents.
• To improve accuracy of features such as receipt scanning based on the corrections you make.

We do not sell your data, and we do not use your business records for advertising or profiling.

4. Receipt scanning and AI features

When you use receipt scanning or the assistant, the image, file or text you submit is sent to an AI processing provider to extract fields such as amount, date and party name. Results are always shown to you for confirmation before anything is saved. Do not upload material you are not permitted to share with a processor.

5. Sharing and service providers

We share data only where it is needed to run the service:

• Cloud hosting and database provider, for storing and serving your records.
• Email delivery provider, for transactional email. If you configure your own SMTP server for a business, email for that business is sent through your server instead.
• AI processing provider, only for the scanning and assistant features described above.
• Authorities or legal advisors, where we are legally required to disclose information.

6. Public share links

Invoices, statements, business cards and QR codes can be shared through public links you create. Anyone with such a link can view that document until the link expires or you revoke it. Only share links with people who should see the content.

7. Security

• Each business is isolated at the database level so one business cannot read another's records.
• Role and permission checks control what each team member can view or change.
• Attachments are stored privately and served through signed, time-limited access.
• Sensitive fields such as bank, IBAN and national ID numbers are masked from roles without permission.
• An audit history records who changed what, and when.

No online service can promise absolute security. Keep your password private and remove team members who no longer need access.

8. Retention and deletion

We keep your records for as long as your account is active, because your ledger history is the product. You can delete individual records at any time. If you ask us to delete your account, we remove your business records and attachments, except anything we must keep for legal or accounting reasons. Backups roll off on their normal schedule.

9. Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal data, and to object to certain processing. Most of this is available directly in the app through the export tools. For anything else, email sc-khata@scaleverse.app and we will respond as quickly as we reasonably can.

10. Children

SC Khata is a business tool and is not intended for anyone under 18.

11. Changes

We may update this policy as the product changes. Material changes will be announced in the app or by email, and the date at the top of this page will be updated.
